This Privacy Policy explains how RewardFair collects, holds, uses, and discloses personal information. RewardFair is operated by Sigmoidal Proprietary Limited (ABN 58 694 150 171), an Australian proprietary company incorporated in Western Australia.

RewardFair is designed for Australian users and Australian money sources. We aim to handle personal information consistently with the Privacy Act 1988 (Cth), the Australian Privacy Principles, and other applicable Australian privacy, consumer, spam, and data-security laws.

Information we collect

We collect personal information needed to provide, secure, improve, and support RewardFair. The types of information may include: - contact details, such as name, email address, phone number, and communication preferences - identity and eligibility details, such as date of birth, previous names, address history, state or territory, employment context, account context, and other details relevant to possible money sources - claim-support information, such as possible matches, source notes, claim status, documents, correspondence, evidence, deadlines, and user instructions - account information, such as login details, authentication events, settings, support requests, consents, and preferences - payment or commercial information if paid features, subscriptions, referral payments, affiliate features, rewards, or prize features are introduced - marketing and savings information, such as coupon use, link clicks, offer preferences, affiliate referrals, and communication history - technical and usage information, such as device, browser, IP address, approximate location, pages viewed, logs, diagnostics, cookies, analytics events, and security signals - any other information you provide to us or authorise us to collect

Some information may be sensitive or higher risk. Do not provide identity documents, tax file numbers, health information, financial account numbers, legal documents, estate documents, or information about another person unless RewardFair asks for it for a specific feature or you are authorised to provide it.

How we collect information

We collect information directly from you when you join a waitlist, create an account, complete onboarding, submit details, upload documents, respond to questions, contact support, use a feature, click an offer, enter a promotion, or otherwise interact with RewardFair.

We may also collect information from public registers, government or official sources, class action or settlement notices, providers, administrators, data sources, identity or verification services, affiliate networks, analytics providers, security tools, email and communications providers, and other third parties where you authorise it, where it is necessary for RewardFair, or where the law permits it.

If you provide information about another person, you must have authority to do so and you must take reasonable steps to ensure they understand this policy.

Why we use information

We use personal information to: - provide and operate RewardFair - search, monitor, compare, and organise possible money sources - assess possible matches and explain claim paths - help you prepare, track, or manage claim steps where a feature supports it - communicate with you about accounts, sources, matches, support, security, changes, offers, and updates - personalise the service, including savings, coupons, affiliate offers, and future rewards features - run waitlists, onboarding, promotions, competitions, mini-games, surveys, and user research - process payments, invoices, refunds, commissions, rewards, and affiliate arrangements if those features are introduced - protect users, detect misuse, prevent fraud, maintain security, troubleshoot issues, and enforce our terms - improve RewardFair, develop new features, perform analytics, train internal processes, and measure performance - comply with legal obligations, resolve disputes, respond to regulators, and keep business records

RewardFair does not decide whether a register, provider, administrator, court, trustee, employer, fund, or other third party will approve a claim or release money. Those parties may apply their own identity, eligibility, evidence, and privacy requirements.

Disclosures

We may disclose personal information to: - government registers, state agencies, providers, funds, banks, insurers, employers, class action administrators, settlement administrators, courts, trustees, or other claim-path participants where you ask us to, where a feature requires it, or where the law permits it - service providers that help us operate RewardFair, including hosting, database, authentication, email, SMS, analytics, logging, security, payments, support, customer relationship management, identity verification, document handling, and storage providers - affiliate networks, merchants, coupon platforms, advertising partners, or rewards partners where you use a savings, affiliate, reward, or offer feature - professional advisers, insurers, auditors, financiers, investors, purchasers, or related bodies corporate for business, legal, risk, corporate, or transaction purposes - regulators, law enforcement, courts, dispute bodies, government agencies, or other parties where required or permitted by law - another person where you authorise us to disclose it or where disclosure is necessary to protect safety, security, legal rights, or the integrity of RewardFair

We do not sell personal information lists. If our business or assets are sold, merged, reorganised, financed, or transferred, personal information may be included as part of that transaction subject to confidentiality and legal requirements.

Overseas recipients

Some service providers, technology systems, contractors, or support teams may be located outside Australia or may store or access information from overseas. Countries may change over time depending on our providers.

Where personal information is disclosed overseas, we will take reasonable steps required by Australian law to protect it, such as using contractual, technical, and organisational safeguards.

Marketing, offers, and communications

We may send service messages about your account, security, claims, sources, waitlist position, support, and important product changes.

We may send marketing messages, savings offers, affiliate links, product updates, surveys, or promotion invitations where we have consent or another lawful basis. You can unsubscribe from marketing messages using the unsubscribe link or instructions in the message, or by contacting us.

Unsubscribing from marketing will not stop service, security, legal, or account messages that we need to send.

Cookies and analytics

RewardFair may use cookies, pixels, local storage, analytics tools, and similar technologies to keep the service working, remember preferences, understand usage, improve performance, measure campaigns, detect misuse, and support security.

You can control cookies through your browser settings, but some features may not work properly if cookies are blocked.

Retention and security

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. These steps may include access controls, authentication, encryption, logging, monitoring, backups, staff and contractor controls, vendor reviews, and security processes.

No system, network, database, or transmission method is perfectly secure. If we become aware of a data breach, we will assess it and notify affected individuals and regulators where required by law.

We keep personal information for as long as reasonably needed for the purposes in this policy, including to provide RewardFair, keep records, handle disputes, comply with legal obligations, maintain backups, prevent fraud, and protect security. When information is no longer needed, we will take reasonable steps to delete, destroy, or de-identify it, subject to backup, legal, and technical constraints.

Access and correction

You may request access to personal information we hold about you, or ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant, or misleading.

We may need to verify your identity before responding. We may refuse access or correction where permitted by law, but we will explain the reason where reasonable and lawful to do so.

Deletion and account closure

You may ask us to close your account or delete information. We will take reasonable steps to action the request, subject to information we need to retain for legal, security, backup, dispute, fraud-prevention, accounting, or legitimate business reasons.

Deleting information may affect RewardFair's ability to provide matches, claim history, monitoring, support, or account features.

Children

RewardFair is not designed for children. We do not knowingly seek personal information from people under 18 unless a parent, guardian, legal representative, or other authorised person provides it for a permitted feature.

If you have a privacy question, access request, correction request, deletion request, or complaint, contact us first at hello@rewardfair.com.au.

Please include enough detail for us to understand and investigate the issue. We will aim to respond within a reasonable time.

If you are not satisfied with our response, you may be able to complain to the Office of the Australian Information Commissioner.

Changes to this policy

We may update this policy as RewardFair changes or as legal, operational, or security requirements change. The updated policy will be posted on this page with an updated date. For material changes, we will take reasonable steps to notify users or obtain consent where required.
